Work management

When an inspection turns up a problem, the fix is tracked as work. LambdaAssetCheck uses two work items — work requests (something needs looking at) and work orders (planned work to carry out) — and breaks each into tasks that people actually do.

Who can do this: viewing needs *work requests → read*; changing status needs *work requests → update* or *tasks → manage status*. What you see is scoped to your role. Where: Work Management → Work.

Requests, orders, and tasks

What it means
Work requestA reported need — "the pump is leaking". Raised from an inspection answer or created by hand.
Work orderWork to be carried out — usually planned or assigned maintenance.
TaskThe unit of work someone is assigned and completes. Both requests and orders hold tasks.

Requests and orders are two types of work item, not two stages of one. A request does not have to become an order — you can create either directly, and both are worked and closed the same way.

Where work comes from

  • From an inspection. A response option can be configured to raise a work request, a work order, or a flag when it's selected. This is the main source — see Templates.
  • By hand. Select Create Work Request/Order on the Work page.

The empty state on the Work page says it plainly: work requests and orders appear here when created from inspections.

Find work

Go to Work Management → Work. The page title reflects your access — My Work, Site Work Management, or Work Management — and a hint under it tells you the scope you're seeing:

  • *Showing only your assigned work* (field workers)
  • *Showing all work for your sites* (site managers)
  • *Showing all work in your organization* (owners and admins)

Filters: Work Type (All Types / Work Requests / Work Orders), Status, Priority, and Assigned To (All, Assigned to Me, a specific user, or Unassigned). Field workers can only view work assigned to them, so the Assigned To filter is locked for them.

Quick filters jump to the common views: My Active Work, Unassigned, Critical Priority, and Completed Work. Reset Filters clears everything.

The list shows Number, Title, Type (WR / WO), Status, Priority, Assigned To, Due Date, Created, and — if your organization uses the CMMS integration — Sync status.

The work item page

Opening a work item shows:

  • Description — what was reported, plus the inspection notes if it came from an inspection.
  • Status and Assignment, with the current assignee or group and its members.
  • Details — reference ID, asset, site, due date, requested by, source inspection, created by, created, and last updated.
  • Issues and tasks — each issue found, with its tasks and a Create Task action.
  • Comments — with photo attachments and an internal note option visible only to admins and managers.
  • Activity — the full history of what happened and when.

Assign work

Select Assign and choose a user or a group. Only people eligible for work assignment are offered, and site-scoped roles limit the list to users with access to the item's site. Assigning to a group makes it visible to every member.

Move work through its statuses

Work requests move through:

NEW → IN PROGRESS → IN REVIEW → COMPLETED

Work orders move through:

DRAFT → ASSIGNED → IN PROGRESS → IN REVIEW → COMPLETED

Both can go to CANCELLED at any point, and work orders can also be put ON HOLD from any active status and later resumed to In progress or Assigned.

Two rules apply to everyone, including owners and admins:

  • You can't go backwards. In review can't return to In progress, In progress can't return to New.
  • Completed and cancelled are final. Once a work item reaches either, its status can't be changed again.

A work item reaches In review when its tasks are finished and it's waiting on someone to close it out.

Close work out

Completing a work item asks for a closure: select an outcome, then provide the closure details — root cause and resolution — plus any additional notes. This is what makes the root-cause and resolution analytics meaningful, so it's worth filling in properly.

Cancelling requires a reason, which is recorded on the item.

If your organization runs in CMMS integration mode instead of full work management, work is pushed to your external system and the closure fields come from there. See Organization settings.

Tasks

Tasks live under Work Management → Tasks and are the unit of work people are assigned. From a work item, use Create Task on an issue to raise one.

Task statuses are PENDING, IN PROGRESS, COMPLETED, BLOCKED, ON HOLD, and CANCELLED. Task types, statuses, priorities, and labels are all configurable by your admin under Tasks → Settings.

Some task types carry an SOP — a checklist the assignee completes as part of the task, answering each step before the task can be marked done.

Frequently asked questions

Is there an approval step?

No. There's no submit/approve/reject cycle. Work moves forward through statuses, and who may move it is decided by permissions and whether you created or were assigned the item.

Do work requests convert into work orders?

Not automatically. They're separate item types worked in parallel. If planned work is needed, create a work order.

Can I edit a work item after creating it?

You can change status, priority, and assignment, and add comments and tasks. The originating description from an inspection stays as it was recorded — it's evidence of what the inspector found.

What if I don't finish work by the due date?

The item stays open and is counted as overdue in analytics. Due dates come from your organization's priority-based due dates — see Organization settings.

Why do I only see my own work?

Field-worker roles are limited to work assigned to them. Site managers see all work for their sites; owners and admins see everything in the organization.

What is "Sync status" in the list?

It only appears when the CMMS integration is configured, and shows whether the item was pushed successfully to your external system — Success, Pending, Error, or Not configured.
