Add a user
Learn how to add a user to your organisation via the web app in LambdaAssetCheck, so new team members arrive with the right roles and site access and can sign in on their first day.

Before you add anyone
Set up the building blocks first, so there is something to assign the person to:
You can assign roles and sites while creating the user, or later. Groups are always added afterwards.
Add a user
- Go to Administration → Users / Groups / Sites and open the Users tab.
- Select Create user on the upper right of the user list.
- Enter the person's Full name and Email. Both are required.
- Add Employee #, Supervisor #, Supervisor name, and Supervisor email if you use them. All four are optional.
- Select one or more Roles. Hold Ctrl/Cmd to select multiple.
- Select the Sites the person works at. Hold Ctrl/Cmd to select multiple.
- Select Create user.
The person appears in the user list straight away, and LambdaAssetCheck emails them an invite.
What happens after you create a user
You never set anyone's password. The new user sets their own, from the invite email.
Which invite they receive depends on how your organisation signs in:

If your organisation uses single sign-on and the person’s email is on your SSO domain, they get this instead — no password to set, and nothing that expires:

Once they have signed in, change their roles, groups, and sites at any time from the user's Actions menu.
Limitations
- The password-setup link expires 24 hours after you create the user. There is no resend button in the admin UI.
- If that link expires in an organisation without SSO, the person cannot recover on their own. Forgot password does not issue a link to someone who has never set a password. Contact support to have the invite reissued.
- An email address can belong to only one organisation. To bring in someone who already uses LambdaAssetCheck elsewhere, invite them with a different address, such as a work alias.
- The user is created even if the invite email fails to send. The account exists and appears in the list, but nobody has been notified.
Frequently asked questions
I created the user but they never got the email.
Ask them to check their spam folder first. If it is not there, the account still exists — the email is the only part that failed. Contact support to have the invite reissued.
The invite link expired. Can they use Forgot password?
Only if your organisation has SSO enabled without enforcing it, and their email is on the SSO domain. In every other case Forgot password will not send a link to someone who has never set a password. It reports success either way, so the absence of an email is expected rather than a fault. Contact support to have the invite reissued.
Do I need to give the user a site straight away?
Only if their role restricts them to assigned sites. Those users see no operational data until at least one site is assigned. Roles with organisation-wide data access work without one.
Can I add someone who already has a LambdaAssetCheck account at another company?
Not with the same email address. Each email belongs to one organisation. Invite them with a different address, or they continue using their existing organisation login.
I cannot see the Users tab.
You need the Users platform-management capability. Owner and Administrator have it by default; other roles need it granted. See Roles and permissions.
