What are templates and inspections?

Learn how a template is built, and how each inspection is one run of that template, so you know what to set up once and what your team does every day.

One template, many inspections

You build a template once. Each time someone fills it in, that run is an inspection.

Sections

A section groups the questions for one part of the check, such as Exterior.

Create First Section adds the first group. Click the section name and type the name of that part of the check. The + on the section adds another group.

Questions

A question is one prompt the inspector answers.

Add question adds it to the open section. The trash control on that row removes it.

Conditional logic

Add logic rules sits on the question. A rule tests the answer, then shows a follow-up, asks for a photo or note, or raises the follow-up that template type allows.

Finish the open rule before you add another. The row shows IF answer, Value, and Then.

Scoring

Turn on Enable inspection scoring above Description. Each answer can then carry a Score of 0 or higher, and the completed inspection stores the result.

Status

Status	Meaning
Draft	Being built. Inspectors cannot start from it.
Published	Available for new inspections.
Archived	Withdrawn from new use. Past inspections remain.
Error	The template has configuration issues to fix before it can be used.

Only a Published template can be used for an inspection.

Inspections

An inspection is one run of a template — one forklift checked on one day by one person.

It records who did it, when, the answers, and any photos. Status is In progress, Completed, or Cancelled.

Every inspection is anchored to an asset for an asset inspection, or a site for an audit.

Once complete, you can open or download it as a PDF.

Where audits and incidents fit

Audits and asset inspections use separate permissions, so your role may allow one, the other, or both.
