Set up question logic and answer actions
Logic rules make a template react to how a question is answered. Use them to show follow-up questions only when they're relevant, require a photo or note on a concerning answer, or automatically raise a work request, work order, or flag when something fails.

What logic rules do
A logic rule watches one question's answer and, when the answer meets a condition, performs an action — such as revealing more questions or raising follow-up work. Rules are attached to a question in the template builder and run automatically while an inspection is conducted.
Before you start
- You need permission to create or edit templates.
- Open the template in the template builder (Templates → Manage Templates → Edit template). Editing a published template creates an editable draft; publish the draft to make your changes live.
- The question you're adding a rule to needs a response type already selected.
How a logic rule is built
Each rule reads left to right as a sentence:
For example, on a Yes/No question "Engine Oil Added":
Add a rule from the question's logic area, choose the condition, value, and action, and it takes effect on new inspections once the template is published.
Conditions you can test
The available conditions depend on the response type:
- equals / not equals
- greater than / less than / greater than or equal / less than or equal (number and similar types)
- between / not between
- is empty / is not empty
- is one of / is not one of (choice types)
- before (expired) / after (not expired) (date types)
Checkbox questions offer quick options for Checked and not checked.
Actions a rule can take
Set what happens in the THEN column:

| Ask Questions (Max depth) | Reveals follow-ups at the deepest allowed nesting level. |
| Require Photo | Makes a photo mandatory for that answer. |
| Require Note | Makes a note mandatory for that answer. |
| Create Work Request | Raises a work request when the condition is met. |
| Create Work Order | Raises a work order when the condition is met. |
| Raise Flag | Raises an audit flag (for audit-type templates). |
For work and flag actions you can set a Priority (Low, Medium, High, Critical) and, for flags, a Severity.
Show or hide follow-up questions
Use Ask Questions to keep forms short and relevant. Follow-up questions appear nested beneath the rule, and a depth indicator (for example 1/4) shows how deeply they're nested. Rules can nest several levels deep up to the maximum; you'll see a message if you reach it.
Hidden questions are skipped entirely — including in scoring (see How inspection scoring works).
Turn a failed answer into work or a flag
To make an inspection drive follow-up automatically:
- Add a rule to the question that signals a problem.
- Set the condition that represents a failure (for example, equals · No).
- Choose Create Work Request, Create Work Order, or Raise Flag as the action.
- Set the Priority (and Severity for flags), and require a Photo or Note if you want evidence captured.
- Publish the template.
When an inspector hits that answer, the work or flag is raised automatically. Response types are labelled in the picker to show which follow-ups they support — WR → Work Request, WO → Work Order, and Flag → Raise Flag.

Frequently asked questions
What's the difference between "Ask Questions" and the other actions?
Ask Questions controls visibility — it shows follow-up questions. The other actions (Require Photo/Note, Create Work Request/Order, Raise Flag) act on the answer itself.
Do logic rules change past inspections?
No. Publishing a new template version applies your rules to new inspections only. Completed inspections keep the version they were run against.
Why can't I add another rule yet?
Complete the rule you're editing first — the builder asks you to finish an in-progress rule before starting a new one.
Can a failed answer raise both work and a flag?
Flags apply to audit-type templates; work requests and orders apply to asset inspections. Choose the action that matches the template type and your follow-up process.
